How to Add the Client's Information to HighLevel

Use the completed intake form to customize the client's HighLevel sub-account with their business information, contact details, logo, URLs and advisor-specific settings.

What to show on screen

  • Update the client's Business Profile
  • Add the firm name, address, website and contact information
  • Enter the EIN and business registration details needed for A2P
  • Upload the client's logo to the Media Library
  • Update the client-specific Custom Values
  • Add the event page, seminar page and booking URLs
  • Confirm that no placeholder client information remains

Turn the Intake Form Into the Client's Account Settings. The completed intake form contains the information needed to customize the client's HighLevel sub-account. Most of the information will be entered into two primary areas: Settings → Business Profile and Settings → Custom Values. Some details may appear in both sections. This is expected because the Business Profile controls the general account information, while Custom Values allow the same information to be used inside workflows, emails, text messages and other assets.

Update the Business Profile

  • Go to Settings → Business Profile
  • Enter the client's approved business information from the intake form
  • Add or confirm: firm name, business address, city, state, postal code, main phone number, business email, firm website, business registration type, EIN or Tax ID, client timezone, approved business logo
  • Use the information exactly as it was entered on the intake form
  • Do not shorten the firm name, use a personal address, or guess missing business information

Important: Begin A2P Registration Immediately

The client's EIN and business registration type are needed to begin the A2P verification process. A2P approval can take longer than the other onboarding steps, so this should be started as early as possible. Confirm that you have the legal business name, EIN or Tax ID, business registration type, business address, business website, authorized representative information and the client's approved messaging use case. Do not submit A2P information using guessed details or information from a different business.

Upload the Client Logo

  • Go to Media Storage or Media Library
  • Upload the client's approved logo
  • Confirm the image is clear and not blurry
  • Open or select the uploaded image
  • Copy the image URL
  • Paste that URL into the appropriate Logo Custom Value
  • Use the official client logo whenever possible
  • Do not use a screenshot, social media profile image or low-resolution website image unless approved by the account manager

Update the Custom Values

  • Go to Settings → Custom Values
  • Replace the snapshot placeholders with the client's real information
  • Depending on the account setup, these may include: Firm Name, Advisor Name, Advisor Phone, Firm Email, Firm Website, Logo URL, Advisor Booking URL, Events Page URL, Seminar Registration Page URL, Default Seminar Description, Escalation Phone, Compliance Email and calendar information
  • Everything that can be completed directly from the intake form should be updated during this step
  • Some URLs may need to be added after the client's branded domain and calendar have been configured

Add the Event and Seminar Page URLs

  • The event page and seminar registration page URLs should use the client's approved branded domain whenever possible
  • These URLs may not be available immediately if the client has not provided a domain, a new domain must be purchased, DNS records still need to be connected, or the funnel or registration page has not been published
  • Once the domain is connected, return to the Custom Values and add the final published URLs
  • Confirm that each URL opens successfully, uses the correct client domain, leads to the correct page, does not contain another client's information, and does not use a temporary preview link when a live branded link is available

Add the Advisor Booking URL

  • The advisor's booking URL will usually point to a calendar created inside the client's HighLevel account
  • Whenever possible, use a branded domain or redirect instead of giving the client a long default HighLevel calendar URL
  • Create or confirm the advisor's calendar
  • Confirm the correct appointment type
  • Open the calendar's permanent booking link
  • Create the branded redirect, when applicable
  • Test the final URL
  • Add it to the Advisor Booking URL Custom Value
  • Test the booking link to confirm it opens the correct advisor's calendar, the advisor's name is correct, the appointment type is correct, the available times are correct, the timezone is correct, and the link works on both desktop and mobile

Information That May Be Repetitive. Some information from the intake form may be entered more than once. For example, the firm email may appear in the Business Profile, a Firm Email Custom Value, internal notification settings, workflow email settings and CloseBot source variables. This repetition is intentional. Enter the same approved information consistently wherever it is required.

Do Not Leave Placeholder Information

Before moving forward, review all Business Profile fields and Custom Values. Confirm that no placeholder firm names remain, no previous advisor information remains, no test email addresses remain, no test phone numbers remain, no broken URLs remain, no temporary logo links remain, and no information from another client is present.
