What to show on screen

  • The full system map diagram, one node at a time
  • A live advisor sub-account dashboard at a high level
  • The CloseBot job flow list showing multiple sources
  • A finished seminar registration page

The Financial Seminar Backend is one reusable system deployed many times. A single HighLevel snapshot supplies the structure, and a single CloseBot Job Flow supplies the conversation. Each new financial advisor becomes a customized instance of both.

The system map

  1. 1Financial Advisor Purchases SaaS Account
  2. 2Sub-Account Created from Snapshot
  3. 3Advisor Information Customized
  4. 4Seminar Events Added
  5. 5Registration Links and QR Codes Created
  6. 6HighLevel Workflows Activated
  7. 7Sub-Account Connected to CloseBot
  8. 8Leads Register and Receive Nurture
  9. 9Advisor Tracks Attendance and Appointments

HighLevel controls the automation and the CRM data. It owns the record of truth: who registered, which event they chose, what stage they are in, and which scheduled messages have gone out. CloseBot controls the conversational replies. It reads the contact's tags and fields, then answers in natural language on SMS. Neither system guesses about the other's job.

GoHighLevel responsibilities

  • Registration forms
  • Event fields
  • Tags
  • Pipelines
  • Scheduled SMS and email
  • RSVP processing
  • Attendance processing
  • No-show and cancellation nurture
  • Advisor appointment tracking
  • Stop-nurture actions

CloseBot responsibilities

  • Answering natural-language SMS replies
  • Event logistics questions
  • RSVP hesitation questions
  • Future event questions
  • Post-seminar follow-up questions
  • Compliance deflection
  • Sharing the advisor booking link when permitted
  • Escalating questions when information is unavailable

One rule that prevents most confusion

If a message is scheduled, it belongs to HighLevel. If a message is a reply, it belongs to CloseBot.
