Customize the Registration Workflow for Each Seminar Date

Duplicate the registration intake workflow for each active seminar, connect it to the correct event form, and verify every action before publishing.

Each active seminar date needs its own registration intake workflow. Keep the original as a template, clone it per event, connect it to that event's form, and confirm every action before publishing.

What you will complete

  • Keep the original registration workflow as a reusable template
  • Duplicate the workflow once for each active seminar date
  • Rename each workflow using the event date
  • Connect each workflow to the matching registration form
  • Update the contact's registration and attendance fields
  • Remove outdated seminar-status tags
  • Add the Seminar Registered tag
  • Create the opportunity in the Seminar Registered stage
  • Confirm the CloseBot stage is correct
  • Review the confirmation SMS, email, and internal notification
  • Verify every workflow step before publishing

Workflow naming format

  • [Event Date] — Registration Intake
  • December 1 — Registration Intake
  • December 2 — Registration Intake

Use the event date so each workflow is instantly identifiable

The number in “Seminar 1 Registration Intake” is not the event number

It refers to the order of the workflow in the seminar process, not the first seminar date. For the safest setup, preserve the original template and create a separate copy for each active event.

Quality control: review every action before publishing

A cloned workflow may still contain event details, links, custom values, or notifications from a previous seminar. Open each action and confirm the workflow is tied to the correct form and sends the correct information for that event.
